Zero Inbox Quick Solution: Move to Folder in Outlook
I use Outlook pretty much exclusively for email and my Inbox can get really full, really fast.
Messages may get lost or forgotten so I’ll mark some as follow up and/or I’ll quickly move them to an appropriate folder to clean up my inbox.
Here’s how to quickly move your email messages from the Inbox to another folder and achieve zero inbox bliss.
Add a ‘Move to Folder’ button to the Outlook Toolbar
- Right click on the toolbar
- Select Customize
- From the Commands tab drag and drop the ‘Move to Folder…’ command to your toolbar.

Move email to Folder
- Select the email message you want to move
- Click on the Move to Folder icon you created
- Select folder
(Cool Feature: Folders are listed by most recent move)

How to Backup Selected Outlook Contacts and Email
A client of ours needed to save (or backup), not all, but a selected number of Outlook contacts & emails.
The solution: Create a new folder.
Export (Backup) Selected Contacts in Outlook
- Open Outlook
- Go to your Contacts
- Create a new folder under Contacts

- Drag and drop the Contacts you want to save into the new folder
- Export or backup the newly created folder

Export (Backup) Selected Email in Outlook
- Open Outlook
- Go to your Mail
- Create a new folder under Personal Folders

- Drag and drop the emails you want to save into the new folder
- Export or backup the newly created folder

Save Online Articles and Read Them Later Bookmarklet
Happy Friday to you!
I recently found out about a great bookmarklet called Read it Later.
Ever since the explosion of Twitter and social networking updates, it has been hard for me to keep up with the many great blog posts and articles.
Save an Article, Read it Later
I do not have time to read all of them the instant they become public so I downloaded the Read it Later bookmarklet for Firefox. (Read it Later can also be used with Internet Explorer, Chrome, the iPhone or iPad too)
Now when I get an alert to a good article or blog post, I can simply click the arrow button in my menu bar and save the website to read later. And later can mean from any computer or mobile device too.

Save a Tree: Print to a PDF
Happy Earth Day 2010!
One thing I’ve done to reduce my carbon footprint is to print all my documents to PDF (Portable Document Format).
I wrote about a free program that will print your documents to PDF format. It’s called CutePDF and I recommend it highly.

Switch Between Open Windows the Apple Way
My graphic designer uses a Mac (I use a PC) and while he was switching between windows I noticed how simple it was. One click the windows tiled all over the desktop. I was told it’s called Expose for the Mac.
Windows has something similar, but nothing in comparison. It’s me using the Alt+Tab buttons. The Windows Flip in Vista is pointless.
Switcher for Vista
Searching around the internet, I found Switcher for Vista. It works great, just like Mac’s Expose. You can also setup unlimited number of shortcuts. The most important shortcut for me was launching the program. I could use a keyboard shortcut, but I wanted to use the scroll wheel button to tile the windows.
How to Use the Mouse Scroll Wheel Button to Launch Windows Switcher
- In Switcher settings, go to Shortcuts link
- Click the ‘Change’ button next to Mouse Shortcut
- Select the shortcut in the left window
- Use these settings:

- Close and you’re done
Warning: You must click outside of any window otherwise the window will close.

How to Fix CS4 Install Problems With Word and Outlook
I just installed Adobe Creative Suite 4 (CS4) Web Premium edition.
All was great until I tried to open up a Word 2003 document. I couldn’t. The only way to open up the file was to drag the file onto the Word icon.
Turns out I was also unable to use my mouse to create or edit an email in Outlook 2003. The keyboard was my only friend. I’m using Word as my email editor and I kept getting the error message:
Do you want to save the changes to: PDFMCustom.dot
Putting two and two together, I realized it must have been the CS4 install. It was and it changed or messed with my Windows registry settings.
The Fix
I searched high and low on Google and found the answer on Adobe’s forum explaining the fix:
- Edit Registry
- HKEY_LOCAL_MACHINE\Software\Microsoft\Office\
Outlook\Addins\PDFMOutlook.PDFMOutlook
- Change the LoadBehavior value from 3 to 2
- Restart
It worked.

Turn Off Windows Update Notifications
I am running Windows Vista and I have Windows Update setup to ‘Check for updates but let me choose whether to download and install them’. Sometimes I don’t want to install updates for one reason or another.
The problem with this setup is that when you don’t install updates, the program keeps alerting me to update.
I found out a way to prevent Windows Update from notifying me all the time.
- Go to Windows Update in the Control Panel
- Click on ‘View Available Updates’
- Right click on the update you don’t want to install and be notified of
- Select ‘Hide Update’
That’s it.

Test Everything
Whoops!
I almost sent out a confirmation email without seeing if I could login to their application or not. Well, I can’t. Good thing I didn’t send that email.
Test Everything
I learned that early in my career. There are so many things you have to check before launching a website, application or a simple web form.
What I learned was:
- Make one change
- Test it
- If it works, move on. If not, test again
If you test each change individually, you’ll always know what did or didn’t work. You’ll never figure out what isn’t working if you make too many changes at one time.
“Test, test and test again”. You can never be too careful.

In a clever, but devious way, hackers are producing fake parking tickets to lure unsuspecting drivers to a fraudulent website where they download a virus.
I might have to add this to my top 10 virus prevention tips.

Save The Environment, Print Electronically
Hello.
At MJS Web Solutions we are always trying to be environmentally conscience by using less paper. (It would only make sense being a web design firm.)
One program we’ve been using to minimize – if not eliminate – paper usage, is CutePDF Writer. We were using the full version of Adobe Acrobat, but didn’t need all the extra bells and whistles.
The main reason we use CutePDF Writer is so we can ‘print’ to an electronic document (i.e. PDF). No more printing on paper and filing it away. This also saves on filing space too. We also like it because it’s FREE!
It’s easy to use. Just download the software, open up a Word document, select File | Print and choose the CutePDF Writer printer.
Save the trees and the environment. Print electronically with CutePDF.
